Delete your Aqua Mage account

You can ask us to delete your account and the data associated with it at any time. Email us, we confirm it is you, and it is done within 30 days. The steps are below, along with exactly what is deleted, what has to be kept, and for how long.

01 How to request deletion

Three steps, start to finish

There is no form to hunt for and no phone tree. One email starts it.

  1. Email your request

    Send an email to support@aquamage.com from the address you use to sign in to Aqua Mage, with the subject "Account deletion request". Include your full name, your sign-in email, your facility's name, and whether you are a staff member or the account owner.

  2. We verify it is you

    We reply within two business days to confirm the request came from the account holder. A request to delete an entire facility account is confirmed with the account owner on record, not with the sender alone.

  3. We delete and confirm

    Deletion is completed within 30 days of verification, and we email you when it is done. You can cancel the request any time before that by replying to the same thread.

02 What happens to your data

It depends which kind of account you hold

Aqua Mage is used by facilities, not only by individuals. A lifeguard's account and a facility's account are different things, so deleting them does different things.

Track A

You are a staff member

Lifeguards, instructors and managers who were invited to a facility's Aqua Mage account.

Deleted permanently

  • Your sign-in credentials and identity record held with our authentication provider
  • Your name, email address, phone number, mailing address and profile photo
  • Your notification and contact preferences, and any devices registered for alerts
  • Your availability, time-off requests and shift-swap messages
  • Location coordinates captured when you confirmed arrival for a shift

Kept

  • Chemical readings, maintenance logs, shift and time-clock records, and incident reports you filed — these form your employer's legal operating record, not solely personal data
  • Certification records your employer must be able to produce during an inspection

Records that must be kept are anonymized: your name is replaced with a non-identifying reference, so the facility's log stays complete without naming you. New York requires pool operators to retain complete daily operation records for 12 months (10 NYCRR Subpart 6-1.21) and comparable rules apply in other states, so we cannot destroy those entries on an individual request.

You are the account owner

The person who signed your facility or organization up for Aqua Mage and holds the subscription.

Deleted permanently

  • The entire account and every user in it, including all staff profiles and pending invitations
  • All facilities, pools, sub-locations and lockers
  • All chemical readings, maintenance records, schedules, shifts, punches and incident reports
  • All certifications, courses, class rosters and issued certificates, including uploaded files and PDFs
  • All settings, templates, audit history and notification configuration

Kept

  • Invoices and payment records, which we are required to retain for tax and accounting purposes
  • A minimal record that a deletion request was made and completed, kept as evidence that we honored it

Deleting the account also cancels the subscription. Export anything you still need first — once the deletion runs there is no copy for us to restore, for you or for your staff. If your facility is subject to record-retention rules, take your own export of the operating log before requesting deletion.

03 Data types and retention

Every category, line by line

Deleted means removed from our systems. Anonymized means the record survives but no longer identifies you. Kept means retained in full, for the reason given.

Timing

We complete deletion within 30 days of verifying your request, and email you when it is finished. Between the request and that confirmation your account still works, so you can export anything you want to keep. Data already deleted may persist briefly in encrypted backups until those backups age out on their normal cycle; we never restore a backup in order to bring a deleted account back.

If you only want to leave a facility

You do not need to delete your account to stop working somewhere. Ask that facility's manager to remove you from their Aqua Mage account — your access ends immediately and your login stays yours for your next employer. Deleting the account is the heavier option, and it is permanent.
